Floorplan permission question

I'd like to map my college's dorm buildings with a bit more detail than they currently have. The university website has a bunch of floor plans online as PDFs (example: http://housing.illinois.edu/living-options/residence-halls/undergraduate-halls/snyder/floor-plans ), and I was thinking of using those as an imagery source for reference (JOSM+PicLayer). I know that I can't just use those plans without asking, but I'm not entirely sure who I need to ask, or what to ask them for. Do I just email the contact address on the housing pages, asking if I can have permission to use their online floorplans to improve OpenStreetMaps? Do I need to use any particular wording to make sure it's clear what permission they're giving? If they say ok, do I need to document that somehow?

To get permission to use the floorplans from the university authorities, you may use this templates, adapting them accordingly.

I'll try that, thanks! (It looks like the dashes in the link are being converted to spaces when the link is clicked; it works fine if I copy it but gives an error if I just click it.)
